Notes from the Macy's Chair, Mrs. Leslie O'Brien:

Information for additional family members to be included in the World Projects Tour that the band has booked:

I have received an answer regarding FAQ about insurance:  Travel insurance can be purchased.  You can go online to the website (www.world-projects.com) and click "travel insurance" in the Quick Links - this will lead you through the process.  You can also purchase travel insurance through their own sources (travel agent, AAA, own research, etc) should you wish to do so.  Please note, in order to be covered for ANY reason (including preexisting medical conditions), most policies require the premium to be paid within 2-3 weeks of the deposit being made for the tour - by deposit, this means the individuals 1st payment (NOT the group's deposit).

Heres a little more info on the parade.

These are the handouts that were distributed and discussed at the Parent Meeting on Nov 17th.

Grants Pass High School Band and Auxiliary
Macy’s Thanksgiving Day Parade
November 25, 2010
New York City
November 22-November 26

The High School Band and Auxiliary will leave on Sunday November 21st by bus (time TBA) to the Portland Airport. We will have a World Projects Tour Guide assist us at the Portland airport. (We will be leaving very early Monday morning)

Here is some information and helpful tips for the trip.

Please remember all passengers 18 and over must have picture ID on them. This can be a driver’s license, passport, military ID. (You can look on the airline website for more information)

Please remember you will be asked at security to remove your shoes, put your coat and all carry on through the x-ray machine. All cell phones, cameras, belt, change, etc will have to be removed when going through security.

Airlines and times are TBA, but will be in the early morning.

There is a very good possibility we will be on three different planes, three different airlines.

Everyone will have a tour guide and coach bus waiting for them at the airport in NY.

Airlines are always changing their rules as of right now if you would like to eat something on the plane you have to purchase a meal.

Soda, water, tea and coffee on some flights are free.

You may bring food or beverages on the plane if they are purchased after the security check point. If you have food or drinks before the check point they will ask you to throw them out.

We arrive in New York (JFK or LaGuardia airport) and will be met by a World Projects tour guide. (Nonstop flight Portland to New York)

We will collect baggage, board coaches and transfer to the Manhattan hotel. (Millennium Broadway Hotel, 145 west 44th street.) Then have dinner.

The tour package includes

Parade Day

The Parade Route

Parade starts at 9:00 AM and ends at 12:00 PM EST.

If you are going to watch the parade in New York, Thanksgiving and New Years Eve are the most popular times to go to the city. It is strongly suggested that you arrive before 5:00 AM(It has been said that 3:00 am is not out of the norm) to get a spot at the curb. Have a few people with you to save your spot and watch your belongings.

The weather can be interesting this time of year. The parade will go on no matter what. It can be raining, it can be snow, hail, 10 degrees, or 60 and sunny. November is a funny time of year.

TOUR PRICES

Each student fee is $1,750.00

Each student is responsible for $800.00

Pay schedule:

This makes up your $800.00 total.

The rest is due September 15th, 2010 (THE BALANCE, ALL THE MONEY)

The $950.00 will come from the general fund. What is the general fund you ask? Donations, Grants, and some Fundraisers will help to fill the general fund.

Parents, family, friends going to support the band, prices are:

The total cost for our trip is $326,000.00

$1,750.00 per student $262,500.00
Busses to and from Portland $5044.00
Replacement uniforms (50) $14,000.00
New Sashes (150) $6,000.00
New Gauntlets (150) $4,500.00
Plumes (150) $3,000.00
Instrument rental NY $1,500.00
New Needed instruments $25,000.00
Hotel Portland (pending flight info) $4,560.00

The general fund has to pay for all the extras on this list plus the $950.00 per student. That is why a student isn’t done working toward Macy’s just because “their” account says $800.00.

We all have to work toward the general fund. If the general fund doesn’t fill, we CAN NOT GO. If you know of any companies that would like to sponsor us, donate to us, help us out - Please let me know.

We have everything done for you.

We have made up brochures with all our information, letters, typed up and envelopes.

Please don’t just go and send a hand written letter to a company.

There is paypal, bank accounts and information they can send their donations to.

We have an accountant that is donating her time for this project.

Corporations, business, families don’t mind helping out projects but when they are asked two and three times they may get annoyed and decide not to help out our project.

We need to work together as a team.

Please let me know if you have asked a business or corporation for a donation for our band.

If your student receives a donation please remember to send a Thank you. That is very important. There will always be other events that you may want help with. They will remember your student if you send a thank you and maybe a little letter after the trip.

If you would like to help out, have any ideas please feel free to contact any of us.

Good luck with your journey. I know it will be a trip that will always be remembered.

Every month a few dollars in your students account will help, get involved with every fundraiser and send out those sponsorship forms, we can do this and make it happen.

Our band deserves this opportunity. They have worked hard and have earned it. We can all make it happen together.
